The best dates go first: Saturdays in the outdoor season and the days around town festivals are reserved many months ahead. If you are planning an event for next season, autumn and winter are the best time to book. Here is how to do it efficiently.

When to reserve

The rule is simple: the more “Saturday” and summery the date, the earlier you need to act. Harvest festivals, city days and peak-season weddings are best confirmed half a year ahead or earlier. Off-season and weekday dates give you more flexibility - including on budget.

What to settle before confirming

• date, town and type of event,
• length and character of the set (concert, dance party, background music),
• who provides the sound system and stage - the technical rider settles the details,
• the day’s schedule: load-in, soundcheck, performance time,
• payment terms and the rules in case the date changes.

A professional band works on a contract - and it protects the organiser above all: a confirmed line-up, performance time, technical requirements and clear cancellation rules. If a performer avoids a contract, treat it as a warning sign.
